How many letters can I write in one go?
We recommend performing merges in small, manageable units of about 50-100 letters at a time. dbLetterWriter can create mail merged documents containing thousands of letters, although the time taken is dependent on the performance of your computer.
How do I back up my data?
We recommend using the data 'Export' utility (Toolbar, Help, Advanced, Import/Export Data) to perform peroidic data back ups (with storage on alternative media, eg. floppy disk). If your data has been backed up in this way you can recover your data with the 'Import' utility.
What fields does dbLetterWriter contain?
dbLetterWriter contains 20 standard customer database fields. As well as the usual Name, Address, Contact Number fields, the 'notes' field (255 characters) is a free text entry field that can be used for many different purposes. All dbLetterWriter fields can be used in queries and exported to Excel.
Can I copy my data to Excel?
A useful feature in dbLetterWriter is the ability to copy your data into the clipboard and paste it into another application, such as Microsoft Excel. To copy your data to the clipboard from table view, highlight it with the cursor and then use Control and 'C' to copy. Then open Excel and use Control and 'V' to paste.
Importing data from Excel
Importing data into dbLetterWriter is easy with the dbLetterWriter Import Wizard. This is freely available to download now by clicking the link below. The Wizard is Excel based and full instructions are included.

Importing data from Outlook Express
To bring data into dbLetterWriter from Outlook Express, you first need to Export your address book from Outlook Express as a csv file. To do this, within Outlook Express select File, Export, and follow the instruction given by Outlook Express to save a Comma Separated *.csv file). You then need to open the csv file in Excel. To do this, within Excel choose File, Open, set Files of type as Text Files (*.prn; *.txt; *.csv). Once you have your Outlook Express address book open in Excel, you can then paste it into the appropriate columns in the dbLetterWriter Import Wizard (see the FAQ above).
How can I make dbLetterWriter bigger on screen?
dbLetterWriter occupies nearly the whole screen on a computer with a screen area set to 800 x 600 pixels. Some computers support very large screen area settings that make all software packages appear very small on screen. If you find that dbLetterWriter appears too small on screen, we recommend altering the screen area settings. This can be done on a Windows computer by clicking the Start Menu and then Settings and Control Panel. From the Control Panel, click Display. Once in the Display form, click the Settings Tab to show the Screen Area. Choosing the best screen area is always a compromise and is largely a matter of personal choice.
How can I add new Towns, Counties, Countries and Types?
The Town/City, County/State, Country and Type fields all allow data to be selected from a drop down list. These drop down lists obtain their list of options from the data currently entered in dbLetterWriter. To illustrate how this works, if you need to add a new Country, add a new customer record and type the Country you want into the Country field. After the form has been opened and closed (e.g. by switching from Form View to Table View and back again), the list of available Countries is updated. The Town/City, County/State, Country and Type fields exhibit the same behaviour in Table View.
Can I change the names of my Letters on the Main Form?
Yes, dbLetterWriter allows you to alter the names given to each letter on the Main form to suite you individual needs. To do this, from the Tool Bar at the top of the Main Form, click Help, Advanced and Letter Writer Options. In the Rename Letter box of the Letter Writer Options form, you can alter the way dbLetterWriter displays each letter on the Main Form.
Can I print Envelopes and Labels with dbLetterWriter?
1.0 Introduction
To print labels or envelopes addressed to customers or clients you have already entered into dbLetterWriter you will simply need to swap one of the 10 word files that dbLetterWriter uses for a pre-formatted label or envelope file. An extensive and growing range of pre-formatted envelopes and labels is available – see the FAQ below.
2.0 Step-by-Step Instructions
2.1) To make use of dbLetterWriter for writing envelopes or labels you first need to download our pre-formatted envelope and label files – see the FAQ below.
Assuming you installed dbLetterWriter in the default location, you need to save this file to C:\Program Files\dbLetterWriter.
2.2) If dbLetterWriter is open, please close it down now.
2.3) Using Windows Explorer go to C:\Program Files\dbLetterWriter
2.4) You will now need to swap one of the 10 Word files that dbLetterWriter uses for your chosen pre-formatted label or envelope file. If you choose to swap Letter10.doc (the 10th letter available in dbLetterWriter), you need to rename Letter10.doc as Letter10 original.doc
2.5) You now simply need to rename your chosen envelope or label file as Letter10.doc.
2.6) Now open dbLetterWriter and try writing to the 10th letter – this will now produce a Word file formatted for your chosen envelope or label. When used in conjunction with a dbLetterWriter query, you can easily produce hundreds of labels or envelopes to suite your needs.
3.0 Notes
3.1) If you wish to adjust the font size, colour etc of the label file, simply use the edit button in dbLetterWriter to open the envelope or label file and save your edits.
3.2) For a finishing touch, using the top toolbar dbLetterWriter, select Help, Advanced, Letter Writer Options, and rename the letter as the envelope or label style you have chosen (e.g. DL Envelope).
3.3) If you no longer want to use the envelope or label file, simply delete it in Windows Explorer and rename Letter10 original.doc as Letter10.doc to return to your original Word file.
4.0 Troubleshooting
4.1) If you find that you have accidentally deleted a Word file that dbLetterWriter needs, you can easily recover a standard blank letter file from within dbLetterWriter by selecting Help, Advanced, Letter Writer Options, Recover Standard Letter.
